Laughton Lodge Privacy Policy
Last updated: [date]
This policy explains what personal information The Community Project Limited collects through laughtonlodge.org and when you contact us, book with us or sign up for homes alerts, why we collect it, and what you can do about it.
Who we are
The Community Project Limited owns and manages the shared land and buildings at Laughton Lodge, Laughton, Lewes, East Sussex BN8 6BY. We are the data controller for the information described here.
We are a small company run by the residents of Laughton Lodge and we don’t have a data protection officer. You can contact the directors about anything in this policy at [community email address] or by post to the address above.
Homes for sale alerts
If you sign up to hear about homes for sale at Laughton Lodge, we hold your first name, your email address and the date and time you signed up. The date and time are our record of your consent.
We use your details only to email you when a home at Laughton Lodge comes up for sale, and occasionally to check you still want to hear from us. Our legal basis is your consent. Signing up is optional; if you don’t, we simply won’t email you.
Your details are seen only by the members of our community who help with home sales. We don’t sell them or share them with anyone else, including estate agents or individual sellers.
We keep your details until you unsubscribe. Every two years we’ll ask whether you still want to hear from us, and if you don’t reply we’ll delete your details.
You can unsubscribe at any time by replying “unsubscribe” to any of our emails or by writing to [community email address]. Unsubscribing stops future emails; it doesn’t affect emails we sent before.
Enquiries and the contact form
When you email us or use our contact form, we use your name, contact details and message to reply and to deal with your enquiry, whether that’s about hiring a space, staying, volunteering, visiting or buying a home. Our legal basis is our legitimate interest in responding to people who contact us, or taking steps at your request before a booking.
Contact form messages are emailed to the resident or team who deals with that type of enquiry. We don’t add you to any mailing list because you contacted us.
Bookings
When you book a space, a guest room or camping, we keep your name, contact details, booking dates and payment records. We need these to manage your booking and keep our accounts. Our legal basis is the contract with you, and our legal obligation to keep financial records.
Website statistics (Google Analytics)
We use Google Analytics to understand how people use this website, for example which pages are visited and how people find us, so we can improve it. It places cookies on your device (named _ga and _ga_ followed by an ID) and collects information such as the pages you view, how long you stay, the site that sent you here, your device and browser type, and your approximate location (town or region, worked out from your IP address).
We use this only to produce statistics about the website as a whole. We don’t use it to identify you, for advertising, or to build a profile of you. Google processes the information on our behalf. We have turned off Google’s data sharing settings, Google signals and advertising features, so Google doesn’t use the information for its own purposes.
The law allows analytics cookies used only for statistics that help improve a website to be set without asking first, provided we tell you about them and give you a simple, free way to object. To object, use the Turn off website statistics link at the bottom of every page. This saves a setting in your browser so that Google Analytics doesn’t run for you. If you clear your browser data, you’ll need to choose again.
Our legal basis for this use of your information is our legitimate interest in understanding how our website is used so that we can improve it. Google Analytics data is kept for 14 months.
Other cookies and security records
The website also uses a small number of cookies it needs to work securely, for example ones set by our security and caching services. These are strictly necessary and don’t need your consent.
When you submit a form on the website, it records your IP address to help block spam. This is deleted automatically after 24 hours. Our hosting provider also keeps standard server logs, including IP addresses, to keep the site secure. Our legal basis is our legitimate interest in protecting the website from abuse.
Who we share information with
We don’t sell personal information. We use the following providers, who handle it on our behalf and only on our instructions:
| Provider | What they do for us | Where the information is held |
|---|---|---|
| Krystal Hosting | Hosts the website and its database, including form submissions, and sends emails from the website | UK (London) |
| Google Workspace | Runs our laughtonlodge.org email accounts | US and other countries |
| Email providers used by the residents who handle enquiries, for example Google and Microsoft | Receive contact form messages forwarded to the person who deals with that type of enquiry | US and other countries |
| Google (Google Analytics) | Produces website statistics | US and other countries |
We may also share information where the law requires us to.
Information held outside the UK
Where a provider stores or accesses information outside the UK, we make sure a lawful safeguard is in place. Either the country is recognised by the UK as protecting personal information adequately (for US companies, this covers those certified under the UK–US data bridge), or the provider has signed the UK’s approved contract terms for international transfers. You can ask us for details.
